Staying organized and on track with streamlined processes

Elena, previously an assistant property manager at Keyrenter Denver Property Management, is now a property manager managing her own portfolio of 50 doors. As an employee and everyday user of LeadSimple, she has firsthand experience with how LeadSimple can transform a property manager’s day-to-day work.

When asked what was the problem we set out to solve with the Keyrenter Denver team, Elena answered:

“I think it was more than a problem; it was a roadblock with a vision. We wanted to grow the company and maybe we couldn’t have done it the way we have if we didn’t have the processes streamlined … Let’s imagine an analogy of a home cooked meal and making a business out of it. You couldn’t cook, eventually, everything in your kitchen. You would need a bigger kitchen. So I would see it like that. You need the means to do it. Maybe you have them by yourself, but if you were to do more, you would eventually need more help.”


Now that she is managing 50 properties all on her own, LeadSimple helps keep Elena organized and on track.

“It keeps me organized. And to be honest, move-ins and move-outs are the biggest part of what we do; just because we are touching sensitive nerves in all directions … and we want to make sure that those are as smooth as possible.”
“Having LeadSimple just makes me at least feel, like I know the timing is often short, but having it makes me feel safe in a way, like I have today to review this inspection, so that way I know I will get the security deposit return out in time. It just keeps me accountable for what I’m doing. Right now I’m doing everything on my own, so it helps me keep my times as they should be, so that’s how it helps me.”

Elena sees LeadSimple as another teammate than a replacement: 

“The thing about software is you need a human to move it too, [especially] these kinds of software that’re just keeping you on track. So if we were to put everything in LeadSimple and there’s no one checking off stuff and doing it [elsewhere], LeadSimple couldn’t do that. So I think [of it] more as [another team member] than a replacement.”
“I would say it gives your brain bandwidth to worry about things you actually have to have in your brain.”


In the interview, Elena gives a demo of their move-in process, especially highlighting how automated texts have kept Elena from needing to come in on the weekends to send out lockbox codes. 

“That’s the part that has changed my life, because I used to come in on Saturdays or on Sundays just to send the codes to people. So now I don’t have to. Now I just set it up here and I know it’s going to get sent [automatically].”


Elena also appreciates how easy it is to build and change the processes.

“Yeah, it builds really easily. It’s really just simple. So it just honors its name.”
“I just like what we have now and how it works for us and I like how it can change all the time. So that’s a relief too; we can always come back here and change something if it doesn’t serve us anymore.”


Elena had this advice for other property managers looking to build out systems in LeadSimple.

“It’s fine to go in and try to do it the way you [currently] do it, but also, give it space to build itself out…because once you get to know the software more, you know how helpful it can be.”
“Keep an open mind that things can change and it can work for the best; you just don’t know it yet.”
